Development Support Coordinator
SUMMARY The Development Support Coordinator at Haven for Hope is responsible for all administrative needs of the VP of Development, day-to-day gift processing, recognition of donors, and the overall data integrity in development system. He/she must demonstrate a helpful and professional interaction with all stakeholders. This position reports to the VP of Development. ESSENTIAL DUTIES AND RESPONSIBILITIES • Acknowledge all gifts within 2 business days. This includes receive, capture, receipt, reconcile, and creating appropriate thank-you letter. Acknowledging all in-kind donations as well in a timely manner. • Serve as the administrative hub of the Development Team. Schedule meetings, submit travel/reimbursement, collect time sheets, update budget sheets, proofread grants/letters, etc. • Respond to "Donate" email". While several people are included on the email@example.com email, the Development Coordinator will be responsible for responding to the constituent and connecting them with the appropriate staff in a timely manner. • Create and manage all stewardship pieces with guidance of VP of Development. This includes, but not limited to, naming opportunities, donor gifts, and assuring acknowledgment is donor centered (i.e. personal, new messaging for each gift, birthday, anniversaries, etc.). Also developing unique and creative ways to thank significant donors. • Support all development events. This includes room reservation and preparation, communication with constituents on parking, managing refreshments/meals, RSVP lists, campus POC, etc. (i.e. Hoops for Haven, Big Give SA, Lunch & Learns). • Create and/or support communication pieces. This includes Annual Fund, development events, overall Haven for Hope messaging (i.e. mailings, programs, brochures, flow charts, etc.). This includes overseeing printing and mailing of development communication pieces. • Continuously updating constituent records within the Development Database. Includes, but not limited to, researching constituents to obtain correct/additional information, attaching correspondence, reporting, analysis of donors and donor trends, and working with IT Staff to correct any errors and glitches in the development database. • Scheduling of all United Way requests within 1 business day. However, immediate response to United Way Coordinator acknowledging receipt of request is expected. Also creation of agency talking points for United Way speakers. • Other duties as assigned. EDUCATION Bachelor’s degree preferred. EXPERIENCE • Required Experience: financial and development system data entry. • Previous project management experience a plus. • Preferred experience working in non-profit organization. KNOWLEDGE/SKILLS/ABILITIES • Proficient Computer Skills: Microsoft Word, Excel, PowerPoint, Outlook • Previous experience working in a database • Preferred Supplemental Computer Skills: Adobe InDesign and Photoshop • Ability to learn and maintain development database developed specifically for Haven for Hope. • Proficient in verbal/written communication skills with a keen eye for attention to details. • Excellent customer service in person and on the phone. • Excellent ability to organize information, manage tasks and use tools to effectively contribute to a team environment. Ability to be proactive a must. MANAGERIAL RESPONSIBILITIES Effectively coordinate multi-levels of management and constituents to discuss development opportunities/needs in a helpful and generous manner. An understanding that priority response to Board Members, Major Corporate Partner, CEO, and Major Donor requests are expected. CERTIFICATES, LICENSES, REGISTRATIONS Must have a valid Texas Driver’s License, a good driving record, reliable transportation and proper insurance coverage on automobile used for work. Monthly reimbursement for applicable and documented work related expenditures is provided. Travel within the city and its surrounding areas will be required (if applicable). Will need to work some evenings and weekends when there are planned events, tours, and activities that require the attention of the Development Support Coordinator.
